Link clicks and CTR

A venue-tour Reel can attract package requests while the events team is hosting another function. A conference announcement can generate schedule questions from hundreds of viewers. A Story about a workshop or live experience can receive ticket enquiries long after the organiser has finished for the day.

ZayDM helps venues and event businesses connect Instagram engagement with a useful next step. When someone comments a keyword, replies to a Story or sends a DM keyword, an automation can deliver the relevant brochure, package, venue-tour link, event schedule, ticket destination or enquiry page.

Event content → Person responds → Keyword matches → Automated DM → Brochure, ticket or enquiry link

Your team plans and delivers the experience. ZayDM handles the repeatable first response.

Move people from inspiration to event enquiry

Instagram is where people can picture an event before they enquire. Couples can see a ceremony layout at sunset. Conference attendees can meet the speakers through short videos. Brands can review an event planner's previous work. Guests can experience the atmosphere of a workshop, exhibition or live show.

Visual interest often creates predictable questions:

Can you send the wedding brochure?
What packages are available?
Where can we request a venue tour?
What is the venue capacity?
Where can I buy tickets?
Can you send the event schedule?
How do I apply as an exhibitor or sponsor?
Where can I find parking and arrival information?

Manual replies can work when engagement is light. They become harder during engagement season, an event launch, a ticket campaign or a Reel that reaches a much larger audience.

Instagram automation for event venues gives each person a clear first step. The person requests information using the keyword published in the content. The matching automation sends the response prepared for that campaign. The sales, planning or guest-services team can continue personally when the enquiry requires availability, recommendations or a proposal.

Instagram automation use cases for events and venues

The same structure can support venue sales, wedding packages, corporate events, conferences, exhibitions, workshops and ticketed experiences.

Send wedding and event brochures

A venue walkthrough can invite viewers to request complete information:

Comment BROCHURE and we will send you our wedding venue guide.

When an eligible comment matches the keyword, ZayDM can send the configured response privately.

ZayDM supports eligible PDF, DOC and DOCX uploads up to 10 MB. You can also include a supported HTTPS link to a digital brochure, gallery or venue page.

A useful brochure might include:

event spaces and layouts
guest-capacity information
package inclusions
catering or approved-vendor information
ceremony and reception options
accessibility details
parking and transport information
enquiry and venue-tour instructions

Review the resource whenever packages, capacity, policies or venue features change.

Connect venue Reels with tour requests

A ballroom, rooftop, garden or conference-space Reel can lead directly to a tour-request destination.

For example:

Comment TOUR and we will send you the venue-tour request link.

The automated DM can provide a short introduction and a button to the venue's external scheduling or enquiry page.

Useful CTA labels include:

Request a Venue Tour
Explore the Event Spaces
Check Tour Options
Contact the Events Team

ZayDM sends the destination. The venue team or external scheduling platform remains responsible for confirming the date and appointment.

Prospective clients often want an initial understanding of the offer before speaking with a coordinator.

For example:

DM PACKAGES for our current wedding and event options.

The response can send an approved package document or link to a page explaining current starting prices, inclusions and enquiry requirements.

Pricing may vary by date, guest count, room, services and custom requirements. Avoid presenting an estimate as a final proposal when the event still needs to be reviewed.

Promote tickets and registration

Concerts, workshops, exhibitions, festivals and business events can connect promotional content with the official ticket or registration destination.

For example:

Comment TICKETS and we will send you the official registration link.

The automated DM can include a supported HTTPS CTA to the event's ticketing or registration platform.

The external platform remains responsible for inventory, ticket types, attendee details, payment and confirmation. Update or deactivate the automation when registration closes or the event sells out.

Deliver conference schedules and speaker guides

Conference organisers can use keywords to make detailed event information easier to access.

Possible resources include:

current agendas
speaker guides
session tracks
venue maps
attendee information
workshop selections
accessibility guidance
event applications

For example:

Comment AGENDA and we will send you the current conference schedule.

If sessions change, update the linked page or document before continuing to promote the keyword.

An exhibition or industry event may need separate information for attendees, exhibitors and sponsors.

For example:

DM EXHIBIT for the exhibitor prospectus and application link.

DM SPONSOR for the current partnership opportunities.

Create separate automations for each audience so the person receives the correct document and destination. Do not imply that submitting an application guarantees approval or space.

Turn event-planning content into consultation enquiries

Event planners can connect portfolio content with a service guide or consultation request.

For example:

Comment PLAN and we will send you our event-planning services and enquiry link.

The response can explain the services offered, the locations covered and the next step for discussing the event.

Instagram marketing for event planners works best when the automated first response is specific to the content. A corporate-event case study should lead to the relevant corporate services, while a wedding design Reel should lead to the appropriate wedding-planning information.

Answer practical guest questions

DM keyword automations can deliver commonly requested event information such as:

event location and map
parking and transport instructions
opening and closing times
entrance or registration guidance
dress code
accessibility information
permitted and prohibited items
contact details

For example:

Message VISIT for the event location, parking and arrival guide.

Use the event's approved information and update it promptly when operational plans change.

Educational resources can help potential clients while introducing the way a venue or planner works.

Possible lead magnets include:

wedding-planning checklists
venue-selection guides
corporate-event planning templates
event-budget worksheets
guest-list planners
conference preparation guides
exhibitor checklists

For example:

Comment CHECKLIST and we will send you the event-planning guide.

The Instagram lead magnet automation guide explains how to connect a useful download with a comment keyword.

Build a clear Instagram event enquiry flow

The strongest automation usually connects one piece of content with one promise and one relevant next step.

1. Choose one event or commercial objective

Start with a specific wedding package, venue space, event, conference, guide or planning service.

Create separate automations when campaigns need different brochures, ticket pages, schedules or enquiry destinations. This reduces confusion and makes the results easier to compare.

2. Select a keyword that matches the request

Useful event and venue keywords include:

WEDDING for wedding information
BROCHURE for a venue guide
TOUR for a venue-tour request
PACKAGES for package information
TICKETS for the official ticket page
AGENDA for an event schedule
EXHIBIT for an exhibitor prospectus
PLAN for event-planning services

Use a short, memorable word. The caption or Story should clearly explain what the person will receive.

3. Decide whether to use an Opening Message

An Opening Message can acknowledge the request and ask the person to tap a button before the remaining flow continues.

For example:

We have the venue brochure ready. Tap below and we will send it over.

Use this step when it adds clarity. A direct response may be more appropriate when someone simply needs the event schedule or location link.

4. Consider whether Follow Gate fits the campaign

Follow Gate can check whether the person follows the Instagram account before the Final Response is delivered.

It may suit a downloadable checklist, public guide or follower-growth campaign. It may create unnecessary friction when someone wants to buy a ticket, request a venue tour or submit an event enquiry.

Use it selectively based on the campaign goal.

5. Deliver exactly what the content promised

Someone requesting a wedding brochure should receive the wedding brochure. Someone commenting for tickets should receive the official ticket destination. Someone asking for an exhibitor pack should receive the current prospectus.

The send links in Instagram DMs use case explains how Comment, DM keyword and Story Reply triggers can deliver specific destinations.

6. Follow up only while the opportunity remains relevant

A couple may request a venue brochure and then become distracted. A potential attendee may open an event announcement without completing registration. Smart Follow-Ups can send an eligible reminder after a configured delay.

A useful reminder might say:

Just checking that you found the event information. Reply here if you have a question before taking the next step.

Follow-ups stop when the person replies. Do not continue promoting sold-out tickets, unavailable dates or an event whose registration has closed.

Measure what happens after the DM

Comments and Story replies show that the content earned attention. They do not show whether someone opened the brochure, tour page, ticket destination or event schedule.

For eligible HTTPS CTA buttons, Click Analytics can show Link clicks and click-through rate for the automation.

This helps event businesses compare:

which venue Reels generated the most brochure requests
which wedding content earned the strongest click-through rate
whether people requested tickets but did not open the ticket page
which CTA labels made the next step clearer
whether venue tours, planning services or event campaigns attracted more interest

A click does not confirm a venue tour, enquiry, ticket purchase, registration or event booking. Use click data alongside information from the venue CRM, ticketing system, scheduling platform and sales records.

Keep event automation accurate and trustworthy

Dates, capacity, availability, ticket inventory, packages and operational details can change quickly. The venue or organiser remains responsible for every message configured in the automation.

Before activating a campaign:

confirm that dates, locations and event times are current
use only approved capacity and layout information
keep package prices, inclusions and conditions accurate
avoid implying that a date, ticket or space is confirmed
disclose important fees, taxes and refund conditions where required
use client, guest and event imagery only with appropriate permission
update speaker, exhibitor and sponsor information when plans change
communicate age, accessibility, entry and safety requirements clearly
use secure external systems for payments and sensitive attendee information
deactivate sold-out, cancelled and expired campaigns
test every brochure, ticket and enquiry link from another Instagram account
make it easy for people to reach a real coordinator or support contact

Advertising, ticketing, accessibility, alcohol promotion, consumer-protection and privacy requirements vary by market and event type. Review the rules that apply before publishing automated messages.

ZayDM connects through Meta's official Instagram API. It uses eligible Instagram interactions and the permissions granted by the connected professional account. It does not rely on scraping or unofficial browser automation.

FAQ

Frequently asked questions

How can Instagram marketing for wedding venues generate enquiries?

Publish venue tours and real-event content, provide one clear CTA and connect that action with the relevant brochure or tour-request page. Comment keywords, DM keywords and Story replies can move interested couples from public content into a private conversation.

Can a venue automatically DM someone who comments on a Reel?

You can configure a Comment automation for an eligible post or Reel and define a keyword such as WEDDING, BROCHURE or TOUR. When an eligible comment matches, ZayDM can send the configured response privately.

Can ZayDM send wedding or event brochures?

ZayDM supports eligible PDF, DOC and DOCX uploads up to 10 MB. You can also send a supported HTTPS link to a hosted brochure, package page, venue gallery or enquiry destination.

Can an automated DM include a venue-tour link?

Yes. An eligible HTTPS CTA can link to an external scheduling page, enquiry form or venue contact destination. The venue team or external system remains responsible for confirming the appointment.

Can event organisers automatically send ticket links?

Yes. A Comment, DM keyword or Story Reply automation can send the official ticket or registration destination. The external ticketing platform manages inventory, attendee details, payments and confirmation.

Can conferences send different information to attendees and exhibitors?

Yes. Create separate automations with different keywords, messages and destinations. For example, AGENDA can deliver attendee information while EXHIBIT sends the exhibitor prospectus.

Can venues track clicks on enquiry links?

Eligible HTTPS CTA buttons in the Final Response can use ZayDM Click Analytics. The dashboard can show Link clicks and CTR for the automation. This does not confirm that someone submitted an enquiry, scheduled a tour or booked the venue.

Can Smart Follow-Ups remind someone about an event?

An eligible Smart Follow-Up can send a reminder after a configured delay when the workflow conditions are met. Follow-ups stop when the person replies. Update or deactivate the automation when registration closes, tickets sell out or event information changes.

Does automation replace an event coordinator?

No. Automation is best for predictable first responses and information delivery. Coordinators remain responsible for availability, proposals, planning questions, custom requirements, contracts and the client relationship.
